Office Manager/Executive Assistant/Receptionist

Summary:

The Office Manager/Executive Assistant will be responsible for managing all Manticore office and employee needs, providing support to company executives and various other administrative duties.

Description:

Reporting to the president but working closely with other Manticore executives, the Office Manager will be responsible for managing all activities related to the smooth operation of the office and for supporting Manticore executives with necessary administrative functions. Manticore is a small, fast paced marketing software company embarking on a new phase in the company's history, having just launched a new version of our product and planning significant shift in market position and increased growth.

The Office Manager is required to wear many hats, as is typical in small growing companies, and this position acts as a central coordinator for a great deal of the company's activities, including the coordination of regular social events.

This is a salaried position and is eligible for the company's healthcare and benefits package.

Office Administrator/Executive Assistant Responsibilities:

  • Oversee office space, copy machine (repairs), phone system (repairs/changes), overall tidiness of conference rooms and kitchen, etc
  • Responsible for maintaining office supplies and inventory levels
  • Responsible for restocking kitchen supplies and snacks
  • Daily mail distribution to department heads
  • Maintain employee directory, birthday list, vacation calendar
  • Orient and assist new hires with office space, office machines and telephones
  • Process new hire paperwork
  • Manage relationship with office vendors such as printing company, spring water suppliers, telephone and cable suppliers, building maintenance, etc.
  • Manage relationship with PEO and see that they receive all necessary employee paperwork, documents, etc.
  • Manage relationship with Accounting Dept and see that they receive all incoming bills, checks, deposits, employee vacation, etc.
  • Assist with conference room scheduling
  • Coordinate Executives' schedules, meetings, travel, etc as needed
  • Responsible for all filing, scanning, copying including confidential documents
  • Prepare all employee expense reports and submit for approval
  • Organize monthly office social events
  • Assist various department managers as needed
  • Other duties as assigned

Receptionist Responsibilities:

  • Greet guests as they arrive and contact the person they need to see
  • Answer incoming calls and route to the appropriate person or department
  • Screen calls to Executives
  • Sign for deliveries and distribute to recipient
  • Other duties as assigned

Required Skills and Experience:

  • Three - five years experience as office manager/executive assistant in a fast paced, early stage company.
  • Strong communication skills and ability to communicate effectively with a wide range of audiences.
  • Detail oriented and excellent organizational skills.
  • Self-starting, self-managing, execution-oriented.
  • Strong Outlook and MS office skills
  • Multi-tasker.
  • Internet savvy.
